Transparent Financial &
Scheduling Policies

We believe pediatric dental care should be accessible, stress-free, and transparent for every family. Our team will review your child’s treatment options and provide an insurance estimate before your visit so you understand the expected costs. While insurance companies ultimately determine coverage, we always do our best to advocate for your family and help you navigate your child’s dental care with confidence.

Our clinical standards are set by our founders, Board-Certified Pediatric Dentists, Dr. Andrew T. Vo and Dr. Marcus Heffner. Dr. Vo’s background as Chief Resident at Nationwide Children’s Hospital and Dr. Heffner’s extensive experience with developmental and behavioral challenges through his AEGD program in Hawaii ensure that our office is designed for precision and patience.

Caring for children with complex medical, developmental, and behavioral needs requires absolute clarity in scheduling and communication. We have structured our financial and cancellation policies to ensure Dr. Andrew and Dr. Marcus can dedicate their full, undivided attention to every single family we treat.

Navigating dental insurance and healthcare costs can feel overwhelming for many parents. At Tiny Tooth Co., our goal is to make the process as clear, transparent, and stress-free as possible so families understand their child’s care and financial responsibilities before treatment begins.

Our team is happy to verify dental insurance benefits and submit claims as a courtesy for families with PPO dental insurance. However, Tiny Tooth Co. is not an insurance company, and we do not determine coverage, reimbursement amounts, or benefit limitations. Dental insurance policies are contracts between you and your insurance provider, and benefit information is provided directly by the insurance company.

Because insurance companies may change coverage or process claims differently than expected, any estimates we provide are based on the information available at the time of verification and cannot be guaranteed.

Before your child undergoes any dental procedure, our team will provide a detailed, itemized treatment plan outlining the recommended care and estimated costs. This allows parents to review the clinical recommendations, ask questions, and approve treatment before we begin.

Our focus is always on delivering the highest standard of pediatric dental care while ensuring families feel informed, confident, and supported throughout their child’s dental experience.

  • We partner with several major dental insurance providers. As a courtesy to your family, our front office team will verify your benefits prior to your visit.

We will actively file claims on your behalf to ensure you receive the maximum coverage your policy allows. However, please remember that your dental insurance is a contract between you and your provider. We cannot guarantee exactly what your insurance will cover.

  • The parent or legal guardian accompanying the child to the appointment is responsible for all fees not covered by insurance.

This includes co-payments, deductibles, and any outstanding balances for services rendered. We collect all estimated out-of-pocket costs at the time of your visit. For your convenience, we accept all major credit cards, debit cards, and health savings account (HSA) cards. If your child requires extensive treatment, we can discuss flexible financing options through trusted third-party healthcare lenders.

  • Should an emergency arise or if you need to change your appointment, we require a minimum of 48 hours' notice.

Giving us advance notice allows us to offer that valuable time slot to another child who may be in pain or waiting for urgent care. If you cancel or reschedule with less than 48 hours' notice, a standard cancellation fee of $75 per child will be applied to your account.

  • Please arrive 10 minutes before your scheduled time. This gives your child a moment to acclimate to our waiting room and allows you to complete any remaining digital paperwork.

If you arrive more than 10 minutes late, we may be forced to reschedule your visit. We will not compress a 45-minute procedure into a 30-minute window, as this compromises clinical quality. Families who repeatedly miss appointments without notifying our office may be dismissed from the practice so we can prioritize patients who are ready to commit to their ongoing care.

  • We do not double-book our schedule. When you make an appointment at Tiny Tooth Co., we reserve a specific clinical room, a dental assistant, and the providers dedicated time exclusively for your child.

Children, especially those with sensory sensitivities or special needs, require a calm, unhurried environment. Rushing through an appointment compromises safety and creates anxiety. To protect this standard of care, we enforce strict scheduling policies.

  • We are committed to making top-tier pediatric dentistry accessible for families across Costa Mesa, Irvine and Newport Beach. If you have specific questions regarding your PPO network, your deductible, or the Smile Squad Membership, our team is ready to assist you.
